PERMANENT RENTAL

Byron Ballina Property Specialists’ extensive experience in Property Management ensures all aspects of your investment are taken into consideration.

Here is an outline of the process we undertake to manage your property.

PRIOR TO LEASING

  • Management Agreement must be signed prior to a property being advertised
  • We will inform relevant council and strata organisations etc. change of billing address, so that we can arrange payment for you from the rent collected.
  • A thorough inspection of the premises is conducted and a copy of the condition report with photos will be provided to the landlord.
  • Full set of keys to be supplied to the Agent
  • Any work required prior to tenancy to be arranged through agent or landlord

MARKETING OF PROPERTY

  • Professional photos of property to be arranged
  • “For Lease” sign to be erected at property
  • Property to be uploaded to internet
  • Inspections to be arranged with prospective tenants
  • Feedback after each inspection to be given to landlord

TENANT SELECTION

  • All applicants over the age of 18 to complete and application form and supply 100 point ID
  • Reference checking – current and past rental history, employment references including copies of pay slips and personal references.
  • Check tenant details with TICA – Australia’s Largest Tenancy History Database
  • Discuss application with landlord and proceed with successful application

SUCCESSFUL APPLICATION

  • Upon approval being given – collect first two (2) weeks rent as deposit
  • Set up tenant with Bonds Online for direct payment of bond
  • All tenants to sign lease
  • Supply a copy of keys to each tenant on lease agreement
  • Two (2) copies of ingoing condition report is supplied to tenant at time of lease signing. One copy to be completed and returned to agent within seven (7) days of move in.

OWNER PAYMENTS

  • Initial statement will have the following deductions – letting fee, lease preparation fee & advertising
  • Mid-month payments available on 15th of each month (or closest business day)
  • End of month payments processed on 1st of every month.
  • All owners payments made by direct transfer, no cheques

ONGOING MANAGEMENT

  • Initial inspection is conducted thirty (30) days after move in
  • Routine inspections completed with written report and photos every three (3) months
  • Rent reviews done annually – owners are consulted prior to tenant being notified
  • All maintenance and repairs are organised once approval has been given by landlord

RENTAL PAYMENTS

All tenants are required to setup direct transfer of rent payment to agency trust account.  For the security of the agency we do not accept cash payments.

Tenants are given the option to pay by credit card and EFTPOS

Although considerable care is taken when selecting tenants, occasionally tenants fall into arrears. When this occurs the following procedures are undertaken:

  • 1 – 5 days in arrears – daily SMS sent to tenant as a reminder to pay
  • 6 – 8 days in arrears – daily SMS sent plus follow up phone call to tenant to discuss situation and landlord advised of circumstances
  • 9 – 14 days in arrears – daily SMS sent plus arrears letter sent to tenant requesting immediate payment of rent.
  • 15 days in arrears – SMS sent to tenant followed up with Termination Notice emailed and hard copy mailed to tenant. Application to Tribunal for eviction is also filed on this day to ensure the shortest possible time for hearing of matter.

Byron Ballina Property Specialists has an excellent record for arrears management which is largely contributed to management systems and relationships with our tenants.

TERMINATION NOTICES

A Termination Notice can be issued for several reasons. The amount of days required by law can differ depending on the circumstances and reason for the notice being issued. It is important that the correct notice is issued in accordance with the Residential Tenancy Act. Failure to fully understand the Act in regards to the Termination Notice period may result in the notice being null and void. For further information please speak with your Property Manager.

RESIDENTIAL TENANCIES TRIBUNAL

The function of the Tribunal is to arbitrate any disputes between Tenants, Landlords and/or Agents. To get the best results, it is important to have an in-depth knowledge of how the Tribunal works and also the Residential Tenancy Act. Byron Ballina Property Specialists staff is fully versed in this Act.

Our property management fees range from 6.6% – 8.8% depending on the quantity of properties we manage for each landlord.

  • Periodic inspections are carried out every three (3) months with a written report and photos. A copy of this inspection report and photos is sent to the landlord for their records.
  • A full inventory list is left at the property and checked after each guest departs when cleaning is done. Any breakages other than normal wear and tear are charged to the guest and deducted from bond held before refunds are processed.
